Privacy statement
This statement explains which personal data V-tology processes, for what purposes, how long data is retained and which rights you have.

1. Controller
V-tology is a sole proprietorship of Fons Aarts, established in Huizen, the Netherlands, registered with the Chamber of Commerce under number 83619305 and for VAT under number NL003851100B19. V-tology is the controller for the processing described in this statement.
2. Personal data we process
When you contact us, we may process your name, email address, telephone number, company, position, the subject of your enquiry and the content of correspondence. For quotations or assignments, contract, invoice, payment and project data may also be processed.
3. Technical website data
For security and technical management, the hosting provider may process server logs such as IP address, date and time, requested page, browser or device information and error messages. V-tology does not use this website for personalised profiling or advertising tracking.
4. Purposes and legal bases
We process data to answer questions and prepare appointments or quotations at your request; to perform agreements and training; to maintain business records and comply with legal obligations; and to secure the website, communications and business operations. The legal bases are steps prior to entering into a contract, performance of a contract, legal obligation and our legitimate interest in normal business communication and security. We do not rely on consent to answer an enquiry you have sent.
5. Contact form
The contact form does not send or store the information on the website. After validation it opens a draft message in your own email application. You then decide whether to send it. The checkbox only confirms that you have read this privacy statement; it is not consent as a GDPR legal basis.
6. Recipients and processors
Where necessary, personal data may be processed by our hosting and email provider, IT providers, accountant or administrative provider, professional advisers and competent public authorities. Appropriate processor arrangements are made where required. We do not sell personal data.
7. Processing outside the EEA
V-tology aims to process personal data within the European Economic Area. If a service provider processes data outside the EEA, this will only take place with a valid transfer mechanism and appropriate safeguards, such as an adequacy decision or approved standard contractual clauses.
8. Retention periods
General enquiries with no follow-up are normally deleted no later than 12 months after the last contact. Unaccepted quotations are retained for no more than 2 years. Client and project files are normally retained for no more than 5 years after completion, unless longer retention is needed for a legal claim or contractual obligation. Core tax records and invoices are retained for 7 years. Technical server logs are retained by the hosting provider for as long as necessary for security, troubleshooting and abuse prevention. The specific period is determined by the hosting provider’s current policy; relevant logs may be retained longer where a security investigation requires it.
9. Cookies, local storage and external fonts
The website uses no analytics, advertising or tracking cookies. Only the selected language is functionally stored in your browser’s local storage under the name “vtology-language”. You can remove this through your browser. The website does not load Google Fonts or other external fonts; fonts are provided by your own operating system.
10. Security
V-tology takes appropriate technical and organisational measures proportionate to the nature and scale of the processing. No method of internet or email communication is entirely risk-free. Please do not send special-category or unnecessarily sensitive personal data through the general contact form.
11. Your privacy rights
Where applicable, you may request access, correction, erasure, restriction of processing and data portability. You may object to processing based on legitimate interests. Where processing is based on consent, you may withdraw that consent at any time. We may request information to verify your identity and normally respond within one month.
12. Complaints
If you have a complaint, please contact us first so we can address it. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
13. Automated decision-making
V-tology does not use personal data obtained through this website for decisions based solely on automated processing that produce legal effects, and does not use it for profiling.
14. Changes
This statement may be amended when the website, services or applicable rules change. The date at the top shows when it was last updated.
